The problem

What wastes time for joiners

Three situations you will recognise if you price joinery jobs yourself.

  • Sizes taken three times

You measure on site, you note it, you re-enter it for the quote, then you copy it again for the supplier order. Each copy is a chance of error - and in joinery, a wrong size is a lost piece.

  • Supply and fitting mixed together

When the quote shows one price per opening, the client cannot see what they pay and compares poorly. Splitting supply and fitting makes the proposal readable and the negotiation cleaner.

  • The reduced rate on high-performance windows, applied badly

Insulating windows can fall under a reduced rate under conditions, but not a conservatory or furniture delivered without fitting. On a mixed quote, the wrong rate is paid for at the next inspection.

The method

A joinery quote in three steps, without going back to the office

The quote happens when every detail is still fresh: on site, not at night.

  1. Step 1

    You dictate on site

From your phone, describe the job like you would to the client. No form, no dropdown.

  2. Step 2

    Devia structures and prices

Each service becomes a line with quantity, unit and the price from your catalogue. Nothing invented: your rates.

  3. Step 3

    You review and send

Adjust if needed; the PDF is generated in your brand colours and sent to the client. The invoice follows without retyping.

VAT

Which VAT rate on joinery work?

The rate is chosen line by line in Devia - essential when a job mixes several types of work.

  • 20 %

Most joinery repair, maintenance and installation work.

  • 5 %

Qualifying energy-saving materials and some residential energy work.

  • 0 %

Certain new-build and zero-rated supplies, when they apply.

VAT depends on the nature of the work and your VAT registration. If in doubt, check with your accountant: Devia applies the rate you choose, line by line.

Compliance

Required mentions on a joinery quote

A joinery quote should identify your business (including Companies House and VAT numbers where relevant), the client, the job address, each line with quantities, VAT and totals. Devia fills this from your company profile.

  • Date and validity period

Issue date and the period during which the price remains guaranteed.

  • Company identity

Legal name, address, Companies House number, legal form and VAT number if registered.

  • Client identity and job address

Client name and address, and the works address if it differs.

  • Itemised breakdown

Each service and material with quantity, unit and unit price excl. VAT.

  • Labour and call-out

Hourly rate or labour lump sum, and call-out fees where applicable.

  • Totals and VAT

Overall total excl. VAT, VAT rate and amount per line, total incl. VAT due.

  • Professional insurance

Insurer details, policy reference and geographic cover.

  • Client signature

The wording “quote received before work starts”, date and signature.

A written quote is not always a legal requirement in the UK, but it is the document that protects you if the client disputes the price. Devia produces it before you start.

« I dictate sizes during the survey instead of noting them then retyping. A copy error on a window doesn't happen to me any more. »

FAQ

Frequent questions from joiners

Answers to the questions that come up most often before getting started.

How do I produce a joinery quote without re-entering sizes?

You dictate during the survey: “bedroom window 120 by 100, white PVC, double glazing, retrofit”. Devia creates the line with dimensions and material in the label, priced with your rates - and the quote goes out without a second survey.

Should supply and fitting be split on a joinery quote?

Strongly recommended. The client sees what they buy and what they pay in labour, comparison with a rival becomes honest, and the split also helps justify the VAT rate on each item.

Which VAT rate for window replacement?

Most joinery work is standard-rated at 20 %. A reduced 5 % rate can apply to qualifying energy-saving materials, and 0 % to certain new-build supplies. In Devia the rate is set per line so mixed jobs stay on a single quote.

Can I ask for a deposit on order?

Yes, and it is standard in joinery because you order to size. From the accepted quote you generate the deposit invoice, then the balance invoice on fitting, without retyping the lines.

Is joinery vocabulary recognised on dictation?

Yes: frame, sash, double glazing, PVC, aluminium, door set, ironmongery, retrofit. You describe the opening as you would to your supplier, and the label comes out readable for the client.

Does Devia handle quotes with dozens of lines?

Yes. A full fit-out or a whole-house replacement is dictated room by room, and you can reorder the lines afterwards if needed. The PDF stays readable whatever the number of items.
